    Some guidelines to follow when setting up a layout to print envelopes from ClarisWorks (DB).

DISCUSSION

    To print multiple envelopes from a ClarisWorks database you should set up an envelope layout. To do this, follow these step-by-step instructions:

    1. Determine whether your printer feeds envelopes top-first or sideways. Your printer manual is the best source of this information, but if the manual is not available, markings on the printer itself may indicate the direction. Look carefully near all openings and on paper trays for a small envelope icon and note its orientation.

    2. If your printer feeds envelopes sideways (most laser printers do), determine whether your printer feeds envelopes by edge-feed or center-feed. Again, see the printer manual or markings on the printer for this information.

    3. Create a new blank layout: go to the Layout menu and choose Layout. Next, Choose New Layout from the Layout menu. Give it a name like "Envelope" and choose Blank for the type. Click OK.

    4. Choose Print Setup (Windows)/ Page Setup (Mac OS) from the File menu. Choose the envelope size you want if that option is available, otherwise use the US Letter paper size. If your printer feeds envelopes sideways, choose Landscape (sideways or horizontal orientation). Click OK.

    5. In your layout, drag the Body line down so that the Body section covers about three quarters of the page.

    6. Place the fields on the layout by choosing Insert Field from the Layout menu. Choose Insert Field for each field you want and repeat this step until you have inserted all necessary fields for the envelope. You can then delete the field descriptions (the bold text to the left of each field box).

    7. Next, move the fields to where you want them to print on the envelope, resizing them (click to select, then drag a corner dot) if necessary. It may be helpful to Show Rulers (under the Window menu in ClarisWorks 5.0/ View menu in other versions).

    If you are printing a standard business-size envelope:
    • For edge-feed and top-feed envelopes the upper-left corner of the layout is the upper left corner of the envelope; the return address would thus go in the top left, and the recipient's address would typically start about 2 inches from the top and 4 inches from the left side.
    • For center-feed envelopes, the return address should be placed about 2-1/4 inches from the top, and the recipient's address would be at about 4 inches from the top and 4 inches from the left.

    Note: These measurements are approximate; it may take some experimentation and testing to get your desired result.

    8. Choose Browse from the Layout menu and print one test envelope to see if it prints in the correct place. If it does not look right, return to Layout mode, move the fields on the layout in the direction you want them, and test-print again.

    Additional tips for printing envelopes:
    • Use Slide Objects to eliminate blank spaces in fields. Refer to the ClarisWorks On-Line Help for further information on Sliding Objects.
    • If you need to print many envelopes, check your printer manual to see if you can place multiple envelopes in a paper tray. Some printers only allow envelopes to be printed singly by hand-feeding them.
